Privacy Policy

This policy explains what information Zodec collects through zodec.in, why we collect it, how long we keep it, and how you can reach us about it.
It describes how the website works today. Zodec currently offers two ways to get in touch — the contact form and the request-a-proposal form — and this policy covers the information those forms collect and what happens to it afterwards.
For purposes of this policy, “Zodec”, “we”, “us” and “our” refer to the persons carrying on business under the trade name Zodec, operating from Kolkata, West Bengal, India. This policy should be read together with our Terms & Conditions.
1. Information You Provide
We collect the information you type into one of our two forms. Nothing else on the website asks you for personal information.
The contact form collects:
- your name;
- your email address;
- your company or organisation name, if you choose to give one;
- the message you write to us.
The request-a-proposal form collects:
- your name;
- your email address;
- your company or organisation name;
- the service you are interested in, chosen from a fixed list;
- a summary of the project you describe;
- your phone number and its country, if you choose to give one;
- your website address, if you choose to give one;
- your target timeline, chosen from a fixed list, if you select one;
- whether you prefer to be contacted by email or by phone, if you select one.
Optional fields can be left blank, and a blank optional field is not stored. Every field has a maximum length, and anything longer is rejected rather than quietly shortened.
A phone number you provide is converted to international dialling format before it is stored, so it stays usable without us keeping your country as a separate detail.
2. Information Collected With Your Enquiry
When you submit a form, a small amount of additional information is recorded alongside it:
- campaign attribution — the utm_source, utm_medium and utm_campaign values present in the web address you arrived on, if any;
- referring page — the path of the previous page, and only when that page was on zodec.in itself. A referrer from any other website is discarded and never stored;
- a one-way fingerprint of your IP address;
- your browser's user-agent string;
- a one-way fingerprint of your submission's content, used to recognise an accidental duplicate;
- an internal reference for the request, and the date and time it was received.
We do not store your IP address. Before anything is written down, the address is put through a keyed one-way hash and only that result is kept. It lets us count repeat submissions from the same source without holding the address itself, and it cannot be turned back into your IP address by reading our records.
The duplicate fingerprint works the same way: it is derived from your submission using a separate key, and the original text cannot be recovered from it.
3. Cookies, Analytics and Tracking
The public zodec.in website sets no cookies.
It runs no analytics, no advertising pixels and no third-party tracking scripts, and it loads no scripts, fonts or images from another company's servers. There is nothing to consent to and nothing to opt out of, which is why you are not shown a cookie banner.
The confirmation and notification emails described below contain no tracking pixels, so we cannot tell whether or when an email was opened.
4. Why We Use This Information
Your name, contact details and the content of your enquiry are used to read, understand and respond to what you have asked us about, and to prepare a proposal where you have requested one.
The campaign and referring-page values tell us which of our own pages or campaigns an enquiry came from, so we can judge which are worth continuing.
The IP fingerprint, duplicate fingerprint, user-agent and request reference exist for one reason: keeping the forms usable. They let us limit how often the same source can submit, recognise a form submitted twice by accident, filter automated submissions, and trace a technical fault back to a specific request. They are not used to build a profile of you and they are not used for marketing.
We record your consent so we have a clear account of what you agreed to and when.
5. Consent
Both forms ask you to tick a box before you can submit. The wording is:
“I agree that Zodec may use the information I provide to respond to this enquiry.”
Your browser sends only the fact that the box was ticked. The wording itself, the version of that wording, and the date and time are added by our server and stored with your enquiry, so the record reflects exactly what was shown to you rather than anything your browser reported.
If we later change that wording, the new version is stored against new enquiries only. Existing records keep the wording that was actually agreed.
6. How Your Enquiry Is Handled
A submitted enquiry is stored in our database and, at the same time, sent to us as an internal notification email so that a person sees it promptly.
Enquiries are accessible only to authorised Zodec personnel for reviewing and responding to your request. We record an enquiry's progress — for example as new, contacted or closed — so we can tell what has already been answered.
Storing the enquiry and sending the emails are separate steps. If an email fails to send, your enquiry is still recorded and still reaches us — an email problem never causes an enquiry to be lost.
7. Emails We Send You
Submitting a form triggers at most two emails.
The first is an internal notification to Zodec containing the details you submitted. Its reply-to address is set to your email address so that a reply reaches you directly.
The second is a confirmation sent to the address you gave, telling you your enquiry has been received. It is short, fixed wording and deliberately does not repeat your project details back to you, so the contents of your enquiry are not sitting in an inbox we do not control.
Both are one-off messages sent in response to your submission. Submitting a form does not subscribe you to a newsletter or any marketing list, and we do not operate one.
If a submission is recognised as an accidental duplicate, or is caught by our automated-submission filter, no email is sent and nothing is stored.
8. Service Providers
We use a small number of external services to run the website and deliver email. They process information on our behalf in order to provide their service to us:
- Resend, an email delivery provider, which handles the sending of the notification and confirmation emails described in section 7 and therefore processes the recipient address and the message content;
- Amazon Web Services, which provides the hosting, database and infrastructure the website and our records run on.
We do not describe here what these providers do with information for their own purposes, or what commercial arrangements apply, because those are not statements we can make on their behalf. Their current policies are published on their own websites.
No other third party receives your enquiry.
9. How We Protect Information
Zodec uses reasonable technical and organisational safeguards designed to protect personal information from unauthorised access, alteration, disclosure, loss or misuse. These measures include appropriate access controls, secure handling of credentials, protection of administrative access, and controls intended to detect and deter automated abuse of our forms.
Access to enquiry information is limited to the people and systems that require it for legitimate business purposes.
While we take reasonable steps to protect personal information, no system or method of transmission can be guaranteed to be completely secure. These are the safeguards we operate, not a promise of a particular outcome.
10. How Long We Keep Information
Our retention policy has two parts.
- The technical details described in section 2 — the IP fingerprint, the duplicate fingerprint, the user-agent and the request reference — are removed from an enquiry record after 30 days. They are only useful while a submission is recent.
- The enquiry itself, including your name, contact details, consent record and the message you wrote, is kept for up to 12 months from the date you submitted it and is then deleted.
We may keep an enquiry for longer where it has become part of ongoing or completed client work, in which case the records relating to that work are governed by the agreement covering it rather than by this section.
You can ask us to delete your enquiry sooner — see section 12.
11. Sharing and Disclosure
We do not sell your information.
We do not share it with advertising networks, data brokers or analytics companies, and the website contains no mechanism that could do so.
Beyond the service providers named in section 8, we share enquiry information with no one, except where we are required to disclose it by a valid legal obligation or where disclosure is necessary to establish, exercise or defend a legal claim.
12. Your Choices and How to Reach Us
You can ask us to:
- tell you what enquiry information we hold about you;
- correct something you submitted incorrectly;
- delete your enquiry.
Email support@zodec.in and tell us which of these you want. So we can find the right record, it helps to write from the same email address you used on the form and to say roughly when you submitted it.
There is no self-service account or dashboard for this today — every request is handled by a person, by email. We will confirm to you once your request has been acted on.
Choosing not to submit a form is always available to you. The forms are the only place the website asks for personal information, and you can email us at the address above instead.
13. Links to Other Websites
Our website links to a small number of external destinations, such as our social media profile. If you supply your own website address on the proposal form, that address is stored with your enquiry.
This policy applies only to zodec.in. Once you follow a link to another website, that site's own privacy practices apply and we have no control over them.
14. Who This Website Is For
Zodec's website and services are intended for businesses and for people making professional enquiries about our services. The forms are not designed for or directed at children, and we do not knowingly seek information from them.
15. Changes to This Policy
We may update this policy as the website changes — for example if we add something that collects information this version does not describe.
The date shown at the top of this page is when it was last changed. We do not keep a public archive of earlier versions, so if a particular version matters to you, keep your own copy.
